PF and ESI workflows are supported based on configured statutory rules. Contributions are computed from the salary structure for each employee, and challans are prepared at month-end without manual input. Rates and eligibility rules are configured during setup to reflect the applicable statutory requirements.

Can the system integrate with biometric attendance devices?

Yes. exactllyHRMS integrates with standard biometric devices (ZKTeco, ESSL, Biomax, and compatible brands) via push or pull synchronisation. Punch data is imported daily, late marks and overtime are flagged automatically, and the monthly attendance summary feeds directly into payroll without re-entry.

Does exactllyHRMS generate Form 16?

Yes. Form 16 Part A and Part B are generated at financial year end for all employees. TDS is computed monthly from salary and investment declarations (80C, HRA, etc.), and quarterly 24Q returns are prepared from the same data. Employees can download their Form 16 directly from the ESS portal.

How are salary arrears handled when a structure changes mid-year?

exactllyHRMS tracks salary revisions with effective dates. When a structure changes mid-month or mid-year, the system calculates the arrear amount based on the difference between old and new components from the effective date. Arrears are added to the next payroll run as a separate line item and shown on the payslip.

Can employees apply for leave and view payslips from mobile?

Yes. The Employee Self-Service (ESS) mobile portal lets employees apply for leave, check balance, view and download payslips, submit reimbursement claims, and mark attendance with geofencing. Manager approvals and notifications happen within the same app — reducing HR intervention on routine requests significantly.

Does exactllyHRMS handle multi-state professional tax?

Yes. Professional Tax slabs are configured state-wise within exactllyHRMS. For businesses with employees across multiple states — Maharashtra, Karnataka, West Bengal, Tamil Nadu, Gujarat, and others — the system applies the correct PT slab based on the employee’s work location. Monthly PT challans are prepared per state.
